Invoice chaos ends where a clear workflow begins

Most invoice delays aren't caused by slow approvers — they're caused by unclear status, missing information and follow-ups that live in someone's inbox. InvoiceFlow fixes that.

Without InvoiceFlow

  • Invoices arrive via email, WhatsApp and shared drives
  • Approvers chase details that should have been captured upfront
  • Finance teams can't say what's pending without digging
  • Vendors call repeatedly for status updates
  • Audit trails are reconstructed long after the fact

With InvoiceFlow

  • One structured submission portal for every vendor
  • Required fields and documents captured before approval
  • Live dashboard showing exactly what's where
  • Vendors check status themselves — no chasing needed
  • Complete audit trail captured as work happens

Built for the teams that keep invoices moving

InvoiceFlow is designed around the three teams that touch every invoice — and gives each of them exactly the view they need.

Finance & accounts payable

See exactly what's pending, what's approved and what needs action — with complete visibility across every vendor.

Procurement teams

Keep invoices tied cleanly to POs and vendors, so purchasing, payments and records stay aligned.

Approvers & department heads

Approve invoices with the context you need — no chasing details, no duplicating effort.

Invoice clarity — without the email chaos.

InvoiceFlow is built on the same foundations as the rest of the Impact Infotech product portfolio — so finance, procurement and approvers get a consistent, secure experience, and IT gets one fewer system to support.

Common questions about InvoiceFlow

Can InvoiceFlow be used independently of other Impact products?
Yes. InvoiceFlow works as a standalone invoice management platform. If you also use other Impact products, vendor and employee data can be linked, but that integration is optional.
Does it integrate with our accounting and ERP systems?
InvoiceFlow is designed to integrate with common accounting and ERP systems, as well as email and procurement tools. Our team works with you to plan the right integration approach for your environment.
How do vendors check the status of their invoices?
Vendors log into the InvoiceFlow portal and see the status of every invoice they've submitted — submitted, in review, approved, paid or on hold. No more status-chasing through email or phone calls.
Can we customise approval flows and required fields?
Yes. Approval chains, required fields, document checklists and notification rules are all configurable. Our team works with you to align InvoiceFlow to your existing finance process, and to refine it as your operation evolves.
How is invoice data secured?
Invoice data is protected by role-based access controls, encryption in transit and at rest, and full activity audit logs on every record. InvoiceFlow follows the same ISO 27001-aligned practices as the rest of the Impact portfolio.
